Who we are
Platinum Coaching LLC (651 North Broad Street, Suite 201, Middletown, DE 19709, United States) operates Slotify, a scheduling service for sales teams at slotifyscheduler.com, and the Biology Decoded forms and coaching services. This policy explains what we collect, why, how long we keep it and how to have it deleted. Questions: [email protected].
Slotify: what we collect
- Team member accounts: name, email, time zone, working hours, notification settings, an optional photo and a hashed password, so admins and team members can sign in and calls can be scheduled.
- Bookings: details a lead enters when booking (such as name, email, phone and form answers), the call time, the assigned team member, the meeting link and the call’s outcome. We process this on behalf of the business that runs the Slotify workspace.
- Connected accounts: if a team member connects Google Calendar or Zoom, the limited data described in the next two sections.
- Technical data: IP address and browser details in server logs and for rate limiting and security, and a session cookie to keep you signed in.
Google user data
When a team member connects Google Calendar, Slotify requests these Google permissions and uses them only as follows:
| What Slotify accesses | Why |
|---|---|
Your Google account email address (openid, email) | To show which Google account is connected. |
Free/busy information for your primary calendar (calendar.freebusy) | To offer leads only times you’re free. Only busy start and end times are read; event titles, guests and descriptions are not. |
Events Slotify creates on your primary calendar (calendar.events) | To add each call booked with you to your calendar, and to move or delete that event when the call is rescheduled or cancelled. Slotify does not read, change or delete any other event. |
Storage. We store your Google email, an encrypted refresh token and the IDs of the events Slotify created. Free/busy results are kept in memory for up to one minute and are never written to our database.
Limited Use. Slotify’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use Google user data only to provide and improve the user-facing scheduling features described above.
- We do not transfer Google user data to others, except as necessary to provide those features, to comply with applicable law, for security purposes, or as part of a merger, acquisition or sale of assets with notice to you.
- We do not use or transfer Google user data for serving advertisements, including retargeting, personalised or interest-based advertising.
- We do not sell Google user data, and we do not use it to determine credit-worthiness or for lending purposes.
- No person at Platinum Coaching LLC reads Google user data unless you give us permission (for example, to resolve a support request), it is necessary for security purposes such as investigating abuse, it is needed to comply with applicable law, or the data is aggregated and anonymised for internal operations.
- We do not use Google user data to develop, improve or train generalised artificial intelligence or machine learning models.
Zoom user data
When a team member connects Zoom, Slotify accesses:
- Zoom user profile: email address, Zoom user ID and account ID, to show which account is connected and to recognise the account if the app is removed.
- Meetings Slotify creates: Slotify creates, updates and deletes only the Zoom meetings it makes for calls booked with that team member.
- Meeting events for those meetings: start and end times, and the display name, email (when Zoom provides it) and join time of participants, used only to mark whether the lead attended.
Slotify does not access recordings, chat, contacts, phone data or meetings it did not create. We store the encrypted Zoom tokens, the Zoom email, user ID and account ID, and on each booking the meeting ID, join link, join and end times and the attendance result. We do not sell Zoom user data or use it for advertising.
Retention and deletion
- Disconnecting in Slotify (setup link or Profile → Connections): we revoke our access at Google or Zoom and immediately delete the stored tokens and the connected account’s email and IDs.
- Removing Slotify in Zoom (Zoom App Marketplace → Manage → Added Apps → Remove): Zoom notifies us and we delete the Zoom tokens, email, user ID and account ID as soon as the notice arrives.
- Removing Slotify in your Google Account: our token stops working immediately. The stored token is deleted when the connection is disconnected in Slotify, or within 30 days of a request to [email protected].
- Booking records (including meeting IDs, links, event IDs and attendance results) are kept for as long as the business’s Slotify workspace is active, as part of its booking history, and deleted within 30 days when the business closes its workspace or asks us to delete them.
- Server logs are kept for a limited period for security and troubleshooting.
Sharing and selling
We do not sell personal information, and we do not sell or rent Google or Zoom user data. We share information only with service providers that host and operate Slotify for us (such as cloud hosting and email or text delivery) under confidentiality obligations, with the business whose workspace the data belongs to, when required by law, or as part of a business transfer with notice.
Security
Slotify is served only over HTTPS (TLS). Google and Zoom tokens are encrypted at rest with AES-256-GCM, and booking links and setup links are stored only as hashes. Access to data is limited to signed-in admins of the business (for its own workspace), each team member (for their own calls), and the few Platinum Coaching LLC staff who operate the service. Requests from Zoom are verified with Zoom’s signature before they are used.
Your choices and rights
You can disconnect Google Calendar or Zoom at any time. You can ask us what information we hold about you, ask us to correct or delete it, or object to how we use it, by emailing [email protected]. If your information is in a business’s Slotify workspace, we may pass your request to that business. The rights described under GDPR and CCPA below also apply to Slotify.
